RR Donnelley's enhanced e-Delivery solution is a component of our Optimized Communications platform that includes RightMix® which is our unique offering to provide clients with the lowest possible cost for regulatory communications by creating a dynamic production plan from segmented investor data and determining the "right mix" of digital print, optimized conventional print and e-Delivery.

RR Donnelley has been providing electronic versions of compliance documents or e-Delivery for 7 years and the enhanced e-Delivery system is a proprietary technology designed and developed by us consisting of three (3) main processes supported through a customer facing client-branded website. This Customer branded site has a standard user interface and permission level access control based on role and rights designations for all users as directed by Customer. The system is managed through a series of inter-related databases that accept and organize the e-Delivery Participants, the Customer e-Mail templates and Customer PDF documents.

The three (3) main processes of the RR Donnelley solution are:

  1. Account (Consent) Management, which collects on-line client registration and consent preference for e-Delivery
  2. e-Campaign (Notice) Management, which controls the e-Mail campaigns that notify consenters of document availability and sends them to the website and
  3. Document (Access) Management, which directs the import and storage of PDF's in a Document Repository and their ultimate display at the website.

A typical workflow for the system is as follows. Account Management, registration and consent or, the ability to opt in/out of e-Delivery is handled through a central client database where client /broker consent is collected. A Customer has several choices in how to support client registration/consent.

  • Customer can maintain a website that provides their clients /brokers with on-line account access and the ability to register for e-Delivery. Client /broker registration and consent as well as future changes would then be communicated to Donnelley by a file transfer.
  • Clients /brokers wishing to register for e-Delivery could come to a Customer website and be transparently redirected to a Donnelley-managed, Customer-branded website to enter their profile data and consent preference.
  • Clients /brokers could also come directly to a Donnelley-managed, Customer-branded website to register their profile data and consent preference.

Any of these options would trigger updates to the central client database as clients modified their profile data or consent preference. When processed, the central client database provides a table of current e-Delivery consenters for e-Campaigns; all opt-outs are eliminated from the e-Delivery consenter's list.

The e-Delivery consenter files are then merged/purged against a campaign mailing list, provided by Customer, to separate the e-Campaign participants from those receiving printed documents creating a print suppressed or e-Delivery list. Those recipients opting out of e-Delivery can be supplied digital or offset paper versions of the document utilizing our RightMix® optimizer for digital or offset print and / or our kitting and fulfillment capabilities.

The Document Repository, having been updated to include the latest Customer supplied print-ready PDF documents, is then made available to the e-Campaign participants through a unique ID link embedded in a custom e-Mail that is broadcast out at the designated time.

At the end of an e-Campaign, reports are generated to capture participant and web statistics as well as bounce-back data. Bounce backs go through a process to send a digitally printed postcard using the participants' mailing address from their registration profile. The postcard informs the client of a problem with their e-Mail address and instructs them how to verify and update their profile.

All participants not electing e-Delivery would, at Customer's option, be provided paper documents via the RightMix® Optimized Communication digital or traditional print and mail solution based on Customer preference.

RR Donnelley's e-Delivery solution is a complete system not requiring any third party vendor support and each Customer can determine their level of involvement/support. RR Donnelley is also prepared to work with Customer to integrate our solution with a Customer's existing processes.
